Executive Administrative Assistant

To be successful in this role, the incumbent must provide complete secretarial services and diversified complex administrative and administration-related support that requires in depth understanding of corporate activities and practices to Vice-Presidents.

  • Prepares/composes/translates letters, prepares/maintains reports, reads mail and highlights action or important items and attaches relevant files or information for review.
  • Sets up, prepares and/or maintains confidential files, records, reports and budgets.
  • Compiles and maintains information. Performs various searches and draft reports.
  • Handles travel and other arrangements, as required.
  • Processes/manages expenses related to travel and budget activities.
  • Maintains superior's agenda.
  • Provides Committees with support with regards to their administrative responsibilities. Coordinates the logistics of meetings.
  • Coordinates, establishes and maintains various departmental administrative standards with other Administrative Assistants. Makes process improvement recommendations.
  • May organize special departmental activities or act as a key resource in projects related to administrative issues.
  • Performs other related activities, as assigned, in support of departmental and/or corporate objectives.
  • Identifies, implements and maintains controls to mitigate financial and operational risks. Ensures compliance with regulatory requirements and internal policies.


  • DEC in office systems, administration or other relevant training.
  • Minimum of five (5) years experience in a similar position.
  • Excellent understanding of Microsoft Office suite (Word, Excel and PowerPoint).
  • Strong organization, management, priority setting and multitasking skills.
  • Demonstrates professionalism, resourcefulness and independence.
  • Fluent in French and English, both orally and in writing (ease with spelling, proofreading, punctuation and grammar).
