Executive Administrative Assistant

Reporting to the Vice President, Corporate Finance the Administrative Assistant must provide complete secretarial services and diversified complex administrative support, which requires in-depth understanding of corporate activities and practices.

  • Prepares/composes/translates letters, prepares/maintains reports, reads mail and highlights action or important items and attaches relevant files or information for review.
  • Sets up, prepares and/or maintains confidential files, records, reports and budgets.
  • Compiles and maintains information. Performs various searches and draft reports.
  • Handles travel and other arrangements, as required.
  • Processes/manages expenses related to travel and budget activities.
  • Coordinates superior’s agenda.
  • Provides Committees with support with regards to their administrative responsibilities. Coordinates  meeting logistics and printed material.
  • Coordinates, establishes and maintains various departmental administrative standards with other Administrative Assistants. Makes process improvement recommendations.
  • May organize special departmental activitites and act as a key resource in projects related to administrative issues.
  • Manages supplies for the department.
  • Performs other related activities, as assigned, in support of departmental and/or corporate objectives.


  • DEC in office systems, administration or other relevant training.
  • Minimum of 5 years experience in a similar position.
  • Fluent in French and English, written and spoken (ease with spelling, proofreading, punctuation and grammar).
  • Excellent understanding of Microsoft Office suite (Word, Excel, Power point, Adobe).
  • Ability to be flexible despite changing priorities, to be self-motivated and to take initiative.
  • Ability to maintain accuracy and provide special attention to detail.
  • Ability to plan and organize work efficiently and effectively.
  • Ability to work independently and in a team environment where mutual support is essential - service oriented attitude.
  • Recognized ability to exercise sound judgment.
  • Demonstrates professionalism, resourcefulness and independence.
